Plan around outcomes, not meeting count
For every meeting, define a desired decision, relevant stakeholders and preparation material. Confirm time zones, addresses, contact information and agenda in advance. A smaller number of well-prepared conversations can be more valuable than a full calendar with no clear next step.
Leave operating room in the schedule
Avoid back-to-back meetings across distant locations. Include buffer time for security, transport, meals and delays. Protect confidential files on devices and use approved company processes for sharing contracts or sensitive data while traveling.
Capture decisions while they are fresh
After a meeting, record agreements, unanswered questions, owners and deadlines. Send concise follow-ups through an appropriate channel and update the team’s shared records. The true return on a business trip comes from implementation after returning, not from the number of business cards collected.
Practical checklist
- Set an outcome and agenda for each meeting.
- Add transport and preparation buffers.
- Record owners, deadlines and follow-ups immediately.
