Turn requirements into measurable criteria
Define material specifications, acceptable tolerances, required documents, test methods, packing, capacity and delivery conditions. Differentiate mandatory conditions from preferences. Procurement, quality and operations should agree on the same scorecard so the lowest price cannot silently override critical requirements.
Validate claims with evidence
Review technical data, samples, certifications where relevant and production or service records. When risk justifies it, conduct a remote or on-site audit. Ask how nonconforming items are identified and how root causes are addressed. Never treat an unverified badge or certificate image as proof by itself.
Monitor performance after approval
Track on-time delivery, accepted quality, responsiveness and complaint closure. Schedule periodic reviews, particularly when volumes or specifications change. Maintain contingency options for critical inputs so a single supplier failure does not halt the entire operation.
Practical checklist
- Create a specification-led supplier scorecard.
- Confirm documents, samples and corrective-action process.
- Track delivery and quality after onboarding.
